Moving fire service records from spreadsheets into software
Spreadsheets often carry years of useful fire service history, but they also hide duplicates, missing asset context and inconsistent customer records. A good migration starts with cleaning the operating model, not just importing rows.
Separate customers, properties and assets
Many spreadsheets mix customer names, site addresses, asset details and service history in one sheet. Migration works better when each record type has a clear owner and identifier.
- Split customer, property, contact, asset and schedule data.
- Find duplicate site names and inconsistent address formats.
- Decide which fields are required before import.
Clean service scope before importing
Old schedules may include inactive assets, former customers and one-off work that should not become recurring service. Clean scope before it becomes system logic.
- Mark inactive properties and assets before migration.
- Confirm recurring frequencies and service responsibilities.
- Keep notes about uncertain records for review.
Preserve useful history
Not every old note needs to become structured data, but important inspection history, open defects and client commitments should not disappear.
- Prioritise active defects, recent reports and current schedules.
- Attach legacy documents where structured import is not worth it.
- Keep migration decisions documented for office users.
Roll out in stages
A staged rollout reduces pressure. Start with clean customers, properties, assets and current jobs, then deepen reporting, inventory, portals and integrations.
- Pilot with a realistic property group or service team.
- Train office and field users on the same record flow.
- Add portals, inventory and accounting workflows once core records are trusted.
Migration preparation checklist
- Can each customer, property and asset be identified cleanly?
- Which records are active, inactive, duplicate or uncertain?
- Which historical reports, defects and schedules must be preserved?
- Which workflows should be live on day one and which can come later?
- Who signs off the migrated data before technicians rely on it?
