Terms and Conditions
Fire Track Pro terms and conditions for use of the website, web portal, mobile applications, APIs, integrations, support services and related products.

Important context
Fire Track Pro is business software used by service companies and authorised users. These terms apply to access and use of the service unless a signed agreement says otherwise.
1. The service
FireTrack Pro provides configurable field service, compliance and asset operations software. The platform can support fire protection, HVAC, electrical, mechanical, facilities and other service workflows through assets, grouped systems, jobs, schedules, custom task groups, reports, certificates, defects, client portals, mobile apps, APIs and integrations.
2. Accounts and authorised users
You are responsible for your tenant, users, roles, permissions, credentials, devices and all activity under your account. You must ensure only authorised users access the service, keep user details accurate, promptly remove access that is no longer required, and protect passwords, MFA methods, API keys and connected accounts.
3. Customer data and tenant configuration
You retain ownership of data, documents, reports, photos, signatures, asset records, customer records, staff or subcontractor records, job records, audit records and other content submitted to your tenant. You grant us the rights needed to host, process, transmit, back up, secure, troubleshoot and support that data for the purpose of providing FireTrack Pro. You are responsible for the accuracy, legality and suitability of records and configuration entered into your tenant.
4. Configured workflows and compliance outputs
FireTrack Pro can be configured with task packs, templates, asset groups, service frequencies, standards, reporting content, approvals and client portal workflows. You are responsible for confirming that any configuration, inspection process, report, certificate, quote, invoice, defect record or compliance output is suitable for your business, client contracts, industry standards and legal obligations before relying on it.
5. Mobile app, offline use and driving safety
The FireTrack mobile app may allow field users to view jobs, collect photos, complete checklists, capture readings, record travel or job status, collect signatures and work offline until data can sync. Users must operate mobile devices safely and lawfully, follow workplace and road safety rules, and avoid interacting with the phone app while driving. You are responsible for training users and setting work practices that do not encourage unsafe device use.
6. Android Auto and vehicle use
Any Android Auto, car mode or vehicle-related experience is intended only for limited driving-suitable context such as navigation handoff, site context, contact actions and simple travel or job status actions. It is not a substitute for safe driving, route planning, emergency judgement or compliance with road rules. Users must not attempt to complete detailed forms, view complex records or perform phone-based workflows while driving.
7. Acceptable use
You must not use the service to break the law, infringe rights, mislead any person, upload unsafe content, bypass security, access another tenant, interfere with the platform, reverse engineer the software except as permitted by law, overload the service, attempt unauthorised scanning or testing, or store information you are not authorised to collect, use or disclose.
8. Security responsibilities
We use reasonable technical and organisational measures to protect FireTrack Pro, but no internet service is risk-free. You must promptly tell us about suspected unauthorised access, compromised credentials, security issues, privacy incidents or misuse of your tenant. You must not test security controls in a way that could disrupt the service unless we have approved the scope, target, window and stop conditions in writing.
9. Fees, subscriptions and payment
Fees, billing cycles, included users, onboarding charges, optional modules and payment terms are set out in the applicable order, proposal, invoice or selected plan. You must pay all undisputed amounts when due. We may suspend or restrict access after reasonable notice if fees remain unpaid.
10. Support, availability and changes
We aim to provide a reliable service and reasonable support during normal business operations. We may perform maintenance, release updates, change features, improve security, modify integrations, adjust limits or retire functionality where reasonably required. We may use reasonable measures to protect the platform from abuse, excessive load, security risks or operational harm.
11. Integrations and third-party services
FireTrack Pro may connect with third-party systems such as accounting, email, mapping, payment, document, notification or ERP services. Those services are controlled by their providers and may be subject to separate terms, fees, outages, API changes and privacy practices.
12. Automation and generated content
FireTrack Pro may include features that assist with summaries, templates, imports, matching, classification, recommendations or other automated outputs. These features are provided to assist users and may be incomplete or inaccurate. You remain responsible for reviewing outputs, confirming records, and making business, safety, legal and compliance decisions.
13. Intellectual property
We and our licensors retain ownership of FireTrack Pro, including software, designs, documentation, workflows, templates, branding, know-how and related intellectual property. You must not remove proprietary notices or use our branding without permission.
14. Confidentiality
Each party must protect the other party's confidential information using reasonable care and must only use it for purposes connected with the service, unless disclosure is required by law or authorised by the disclosing party.
15. Privacy and data protection
Our handling of personal information is described in our Privacy Policy. You are responsible for ensuring your use of FireTrack Pro complies with applicable privacy, workplace, customer, site access and record-keeping obligations.
16. Suspension and termination
We may suspend or terminate access if you materially breach these terms, fail to pay undisputed fees, create a security risk, misuse the service or use it unlawfully. Clauses intended to survive termination continue to apply.
17. Export, deletion and transition
At the end of a subscription or service arrangement, you should export any customer data you need before access ends. We may retain, delete, de-identify or archive data in accordance with the applicable service arrangement, legal obligations, backup cycles, security requirements and reasonable technical limits.
18. Warranties and Australian Consumer Law
To the extent permitted by law, FireTrack Pro is provided on an as is and as available basis and we exclude implied warranties that can lawfully be excluded. Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot be excluded under the Australian Consumer Law or other applicable law.
19. Limitation of liability
To the extent permitted by law, we are not liable for indirect, incidental, special, consequential or punitive loss, loss of profit, loss of revenue, loss of goodwill, loss of anticipated savings, loss of opportunity, business interruption, or loss or corruption of data. To the extent permitted by law, our aggregate liability for claims relating to the service is limited to the fees paid by you for the affected service in the 12 months before the event giving rise to the claim.
20. Changes to these terms
We may update these terms when our services, operations, security requirements, legal obligations or commercial arrangements change. The current version will be published on our website with an updated date. If a signed agreement applies, that agreement controls to the extent of any inconsistency.
21. Governing law
These terms are governed by the laws of Queensland, Australia, unless mandatory law requires otherwise. The parties submit to the non-exclusive jurisdiction of the courts of Queensland, Australia.
