Buying fire protection software is not just a feature checklist. The better test is whether the platform can connect recurring maintenance, inspection evidence, asset history, defects, client communication, commercial follow-up and future growth.

Start with the operating model

Before reviewing demos, map how work moves from a customer request or recurring schedule through dispatch, field capture, office review, reporting, defects, quoting, invoicing and the next service cycle.

  • Separate recurring maintenance, reactive work, inspections and project work.
  • Identify which records need to remain linked over time.
  • Decide what technicians, office users, clients and subcontractors need to see.

Check asset and compliance depth

Fire protection businesses usually need more than generic job cards. The system should understand properties, asset groups, individual assets, task packs, evidence, standards, frequencies and active defects.

  • Review asset register structure before committing to the system.
  • Ask how task packs change when standards, clients or service scope change.
  • Confirm that reports can be traced back to field evidence.

Test the technician workflow

A field app needs to be fast enough for repeated daily use and resilient enough for plant rooms, basements and regional sites where reception is unreliable.

  • Ask vendors to demonstrate offline work, photo capture, signatures and sync recovery.
  • Check whether failed or queued sync states are visible.
  • Validate how defects are created from inspection results.

Look at total rollout cost

The first monthly price rarely tells the whole story. Migration, reporting, templates, portals, inventory, integrations, user types and implementation support can change the real cost.

  • Confirm which modules and user types are included.
  • Ask how customer, property, asset and history migration is handled.
  • Check whether Xero, MYOB, inventory and portal workflows are core or add-ons.

Buyer shortlist checklist

  • Can the platform model your customers, properties, assets, frequencies and service types cleanly?
  • Can technicians work offline while preserving photos, notes, signatures and defects?
  • Can reports, defects, quotes and invoices come from one connected record?
  • Can clients approve defect work without full internal access?
  • Can implementation and migration be staged without breaking current operations?
